Communication Profiles

You can create new profiles and activate some or all notifications on each profile. Notifications associated with the profile are sent to your customer when the event occurs. For example, when a payment is processed successfully or a new subscription has been created and activated.

Communication Profiles

A communication profile lets you send specific event-driven notifications to targeted customer accounts. You can configure your email templates for notifications and messaging for each profile. For example, suppose you want to: 

  • Send only your Business Edition customers an email notification when their credit card payment is declined.
  • Send only your Enterprise Edition customers an email notification when their subscription is 30 days from renewal.

You can create a communication profile called Enterprise and one called Business that target specific email notifications to these groups.

To define a communication profile:

  1. Create a Communication Profile
  2. Associate a Communication Profile to a Customer Account
  3. Confirm the Email Account

Create a Communication Profile

You can create a communication profile from Billing, Payments, Finance, or Administration.

  1. Click Add New Profile.
  2. Specify basic information for the profile:
    • Profile Name: Enter the profile name.
    • Profile Number: If you want to use your own profile number, replace the default value (CP-xxxxxxxx) in this field.
      Profile number is a value used to identify communication profiles and must be unique. You can manage a communication profile through the Settings API by providing the profile number or ID. For more information, see Settings API tutorials.
    • Mute: If you want to enable this communication profile, do not select the Mute checkbox.
      The Mute checkbox is selected by default.
    • Locale: Select the locale value. For more information, see Locale setting in communication profiles.
    • Description: Enter the description of the profile.
  3. Define and associate notifications to the profile. For more information, see Create and edit notifications.
  4. Click Save at the bottom of the page.

Zuora sends email and callout notifications defined in this communication profile only if this profile is enabled. For more information about enabling or disabling communication profiles after creation, see Enable a communication profile.

Edit a Communication Profile

You can edit a communication profile from Billing, Payments, Finance, or Administration.

  1. From the View Profile list, select the communication profile you want to edit.
  2. Edit basic information for the profile:
    1. Click Edit in the Basic Information section.
    2. Update the following basic information as needed:
      • Profile Name
      • Profile Number: The number value must be unique.
      • Mute: If this checkbox is selected, Zuora will disable this communication profile and will not trigger any notifications associated with this profile.
      • Locale: The locale value of the profile. For more information, see Locale setting in communication profiles.
      • Description
    3. Click Save.
  3. Edit associated notifications:
    1. Select a domain from the dropdown list at the top of the Notifications section, such as Billing, Payments, Finance, or System.
    2. Click Edit.
    3. Update notifications for this profile. For more information, see Create and edit notifications.
    4. Click Save at the bottom of the Notifications section.

Associate a Communication Profile to a Customer Account

You can associate a specific communication profile to your customers.

Navigation

Customers  > Customer Accounts

  1. Search for the customer account to edit.
  2. Click edit in the Billing and Payment Info section.
  3. Select the profile from the Communication Profile list and save. 

Confirm the Email Account

The notification for a specific event can be sent to an email account specified for each communication.

Check the configured email account:

  1. Select Settings > Billing.
  2. Click Setup Profiles, Notifications and Email Templates.
  3. Select the profile you want to edit from the View Profile list.
  4. Select a notification and click Default Email Template to edit email information.

  5. In the To Email field, select Bill to Contact, Sold to Contact, or Enter an Email.
    • If you select Bill to Contact or Sold to Contact, the email notice will be sent to the email address of the end customer. For some related events (for example, Create New Subscription), you can select options that send the notification to contacts of the invoice owner rather than the subscription owner. 
    • If you select Enter an Email, enter an email address to specify an alternate email account. You can use this to receive notifications for various activities to monitor your Zuora system.
