Overview
Zuora provides you the ability to send automated email notifications for upcoming subscription renewals. When subscriptions are created, they can be set up to auto renew after the initial term ends or they can be set to not auto-renew.
For subscriptions that are not setup to be automatically renewed, the subscription stops billing once the subscription term expires. Therefore, it important to work with the customer in advance to renew the subscription and avoid a lapse in services. It is best practice to provide non auto renewal customers with ample notice (for example: 30, 60, or 90 days advanced notice) in case any changes to the subscription are required.
For auto renewed subscriptions, since the customer has opted for autorenewal when they signed up for your service, advanced notification is an optional courtesy but is not required since subscriptions will continue billing until it is canceled by the customer.
The solution below walks you through how to use Zuora customer notifications feature to notify your customers of their upcoming subscription renewal.
Solution
- In Zuora, select Settings > Z-Billing Settings or Z-Payments Settings > Setup Profiles, Notifications and Email Templates.

- Click the edit link to view and edit the properties of the notification.
- Use the Active checkbox to enable or disable the notification just like on step 1 above.

- Subscription Charge Display
- In the subscription, under Product & Charges, you can view your charges grouped by product, trigger condition, or key statistics. You can also view the date in which the charge was invoiced through and the history for that charge.
- Subscription Views
- Use the Subscription Views area (located in the upper-right of the Subscriptions page) to quickly see the status of your subscriptions, and view subscriptions by status.
- Creating Subscriptions
- You must first create your customer accounts before you can create your subscription. Once you have a customer account, you can create subscriptions for that account in three different ways. The easiest way to create a subscription is from the Customer Accounts page. You can also create a subscription from the Subscriptions page or from a product page.
- Previewing a Subscription
- You can preview a subscription at any time (when the subscription is in draft, active, or canceled status) to see the invoice charges that will be generated by the subscription.
- Reviewing and Posting Bill Runs
- When reviewing a bill run, you can click into the individual invoices to verify that the proper amount is being billed. Once you have completed your review of the bill run, you can post it.
- Troubleshooting Bill Runs
- This topic provides information to help you determine why an expected invoice was not generated from a bill run.
- Invoice Subscriptions to Different Accounts
- Using the Invoice Subscription to Different Accounts feature, you can configure a subscription in an account to be rated and billed by a billing run initiated from a different account. This is typically used to create a hierarchical billing situation for larger companies with many departments, divisions, or subsidiaries.

- Set Up Profiles, Notifications, and Email Templates
- There is a social aspect to the Z-Billing and Z-Payments modules in that they facilitate communications between two companies (a vendor and a buyer) around the monies owed and paid related to a contract for services. See Notifications and Callouts for information about creating and using these features.

- Creating Email Templates
- You can customize your notification emails in the same way you customize the email used for sending out invoices. Zuora provides you out of box, standard email templates you may use for your customer notifications. You can use these existing templates, or you can create a new email template. Email notifications are sent in text format.
- Configuring Callout Notifications
- Zuora enables e-mail and callout functionality for real-time and scheduled events within the Zuora product. Callouts are event-based API calls that Zuora makes out to other systems, rather than directly to the customers themselves. Callouts can be used by other systems to take information and act upon as configured by workflows and triggers.
