TeamCollaboration Tutorial: Amend a Subscription and View History

This portion of the TeamCollaboration tutorials walks you through amending an existing subscription to reflect an upgrade and an add-on product, as well as viewing a subscription's history.

The exercises will take approximately 15 minutes to complete.

Scenario

Now that TeamCollaboration is offering the TeamCollab Premium and Enterprise products, many of its customers who have subscribed to the Basic product want to upgrade. In this section of the tutorials, you will modify an existing subscription to reflect a customer upgrade and an add-on service.

Exercise 1: Upgrade a Customer from Basic to Enterprise

Objective: To upgrade a customer's subscription by using one amendment to remove the existing product and by using a second amendment to add the new product.

  1. Navigate to Customers > Customer Accounts and click ABC, Inc.
  2. In the Subscriptions & Amendments section, click subscriptions-owned.
  3. Click the subscription with the TeamCollab Basic product.
  4. On the subscription detail page, click amendment.
  5. Enter the following field values:
    • Amendment Name: Remove Basic
    • Amendment Type: Remove a Product
  6. Click save.
  7. In the select product field, select TeamCollab Basic/Basic Monthly.
  8. Click save.
  9. Click contract effective in the upper right corner, enter today's date, and click save.
    This removes the TeamCollab Basic product, effective today. 
  10. In the Amendment Information section, click the link in the New Subscription field.
  11. Click amendment at the top right-hand of the page.
  12. Enter the following field values:
    • Amendment Name: Add Enterprise
    • Amendment Type: New Product
  13. Click save.
  14. In the Amendment Detail section, click + Add New Product & Rate Plan.
  15. In the select product field, select TeamCollaboration Enterprise.
  16. Click select for the Enterprise Monthly rate plan.
  17. Click Contract Effective in the upper right corner, enter today’s date, and click save.

ABC Inc. has now been upgraded to TeamCollab Enterprise, effective immediately. Zuora will automatically handle any pro-ration charges and bill for the Enterprise product going forward.

Exercise 2: Create a New Annual Product and Add it to a Monthly Recurring Subscription

TeamCollaboration wants to add Document Archiving to their product offerings, which can be added to any subscription (even if the recurring charge on the subscription is on a different billing frequency). 

Objective: To add a new product in the product catalog and amend an existing subscription to add the new product charge.

Add a new product.

  1. Navigate to Products > Product Catalog
  2. Click Add New Product.
  3. Enter the following in the Product Information section:
    • Name: Document Archiving
    • Effective Start Date: Today's date. This is the date your product becomes available for sale.
    • Effective End Date: Two years from today's date. This is how long the product will be available for sale.
    • Category: Add On Services
  4. Click save.
  5. In the Rate Plans section, click  + add rate plan.
  6. Enter the following information in the New Rate Plan section:
    • Name: Annual Document Archiving
    • Effective Start Date: Today's date. This is the date your product rate plan becomes available. This date can be the same or different from your product effective start date. For this exercise, we will use the same date as the product.
    • Effective End Date: Two years from today's date. This is how long the product rate plan will be available, and this date can be the same or different from your product effective end date. For this exercise, we will use the same date as the product.
  7. Click save.
  8. Click + add new under recurring charges / period column to add a rate plan charge.
  9. Enter the following information for the new rate plan charge:
    • Charge Name: Annual Document Archiving
    • Charge Model: Flat Fee Pricing
    • List Price: 1200
    • Trigger Condition: Upon Contract Effective
    • Billing Period: Annual
    • Billing Day: Default from Customer Account
    • Billing Period Alignment: Align to Charge
  10. Click save

You can now add this product to any subscription. Let's add it to an existing subscription.

  1. Navigate Customers > Customer Accounts and click ABC, Inc.
  2. In the Subscription & Amendments section, click Subscriptions-Owned.
  3. Click the first subscription in the list.
  4. Click amendment.
  5. Enter the following in the Amendment Information section:
    • Amendment Name: Add Document Archiving
    • Amendment Type: New Product
  6. Click save.
  7. In the Amendment Detail section, click + Add New Product & Rate Plan.
  8. In the select product field, select Document Archiving.
  9. Click select for the Annual Document Archiving rate plan.
  10. Click Contract effective in the upper right corner, enter today’s date, and click save.

ABC, Inc. now has a Document Archiving service that is billed annually while their recurring fees for the Enterprise product is billed on a monthly basis. 

Exercise 3: View Subscription History

Zuora tracks the entire life cycle of a subscription, including when customers purchase, switch plans, add units, or even cancel their subscription. The full record is stored and maintained, allowing your customer service team to reference information when assisting customers.

Objective: To view the history of a subscription.

  1. Navigate to Customers > Customer Accounts and click ABC, Inc.
  2. In the Subscriptions & Amendments section, click a subscription number.
    This displays the details of the current subscription as well as links to amendments made on previous versions. The subscription versions are numbered (1, 2, 3, and so on), and the amendments are numbered in the A-AM00000000# format.
  3. Clicking on subscription version links will show previous pricing and rate plans, including what has changed and when. Every time a change is made to a subscription, a new version is created, which gives a full life cycle view of the subscription.

Customer service representatives or others can see the full history of changes to any customer subscription and any pending amendments.
