Getting Started with Data Access Control


Data Access Control gives you the ability to control what your users see within Zuora. This article explains how to implement Data Access Control.

Data Access Control Workflow

You must have Zuora Platform Administrator permission to manage Data Access Control. See Zuora Platform Roles for more information.

You must perform the following steps to begin using data access control:

  1. Create a tag hierarchy
  2. Apply tags to objects
  3. Apply tags to users

Example Scenario

The following scenario depicts a typical Data Access Control workflow for a fictitious cloud storage company called CyberCloud. 

You want your CyberCloud billing managers to only see the regions for accounts they manage. You decide on a hierarchy model that you want to use in Zuora. For example, let's start with the billing managers in the West Coast in your Small Business business unit.  You only want these billing managers to see accounts that are on the West Coast in the U.S.


To do this, you must perform the following steps:

Create Tag Hierarchy

  1. Navigate to Settings > Administration Settings > Manage Data Access.


  1. Enter the hierarchy information.


Field Description
Label Name of the hierarchy.
API Name This is an internal reference name used for integrations, This field should start with a character and consist of only numbers and characters in the English language. The name should end with '_h'. Note that changing the API name can affect existing integrations.
Active Check this box if you want the Data Access Control hierarchy enabled. 
Description Description of the hierarchy.
  1. Click save.
  2. Create the tags. 


  1. Click save. Once you have entered all your tags, your hierarchy definition will be displayed.


Apply Tags to Objects

  1. Navigate to Z-Billing > Customer Accounts .
  2. Select the account for which you want to apply the tag.
  3. Click edit. The Data Access Control tag hierarchy you created will display as a drop-down.


  1. Select the value for which you want to tag the object.
  2. Click save.

Apply Tags to Users

  1. Navigate to Settings > Administration Settings > Manage Users.
  2. Select the user for which you want to apply the tag.
  3. Click edit. The Data Access Control tag hierarchy you created will display as a drop-down.


  1. Click save.

Congratulations! Your users will now only see the information that pertains to them.
