Renew/Amend Quote Flow

This article describes how to create a renewal or amendment quote.

Renew/Amend Quote Flow in Classic Guided Product Selector

To add products to a quote for Renewal or Amendment:

  1. Click Renew/Amend Quote Flow to add products to a quote.
  2. Click Add Base Products. A list of products and their rate plans displays. In this step, only the products whose Category field is set to "Base Products" appear.
    • The page includes the Guided Selling Step title, a search box, and a list of products and rate plans.
    • You can search product names and rate plan names to narrow down the product rate plan list.
  3. Click the checkbox next to the products and rate plans to add them to the quote.
  4. Click Add and Next.
  5. In the Add Add On Products step:
    • A list of products and their rate plans display. In this step, only the products whose Category field is set to "Add On Services" appear.
    • You can search product names and rate plan names to narrow down the product rate plan list.
  6. Click the checkbox next to the products and rate plans to add the add-on products to the quote.
  7. Click Add to add the selected products to the quote.
  8. Click Previous to go back to the first flow to add more base products.
    WarnNavy2.png Even after you clicked Add, if you click Previous, you lose your current selection of products and rate plans.
  9. Click Done to close the Guided Product Selector.

On the Choose Product and Charges page, you can update or remove selected products as described in Select Products and Charges for a Quote

To add more products, click Renew/Amend Quote Flow and re-open the Guided Product Selector.

Renew/Amend Quote Flow in Lightning Guided Product Selector

To create a renewal or amendment quote:

  1. Create a quote from the Opportunity Detail page, the Account Detail page, or from the Quotes tab.
  2. On the Selecting Billing Account and Quote Type page:
    1. Select the account if it has not been selected yet.
    2. Select the billing account.
    3. Select the quote type from the Choose Quote Type pick-up list:
      • amend existing subscription for this billing account for Amendment Quote
      • renew existing subscription for this billing account for Renewal Quote
    4. Select the subscription to which you are to make an amendment or renewal.
    5. Click Next.
  3. On the Provide Quote, Account and Subscription Term Details page:
    1. Enter the Quote Details fields including Quote Name, Amendment Name, and Valid Until, and so on.
    2. Enter the Subscription Terms and Conditions fields for your Terms and Conditions amendments. You can amend the following fields as your amendments: Change Subscription Term Type, Initial Term, Renewal Term, Subscription Term Start Date, Subscription Term End Date, and Auto Renew. 
      For a Renewal Quote, you should change only the Renewal Setting and the Renewal Term fields.
    3. Click Next.
  4. On the Edit Product and Charges page:
    1. To view or update any custom fields configured to be displayed:
      • For any custom fields at the Quote Rate Plan level, click the down arrow next to the rate plan name and select Edit Rate Plan. You can then view and update the custom fields, for example, the Specific Update Time field.
      • For any custom fields at the Quote Amendment level, click the down arrow next to the rate plan name and select Edit Amendments. You can then view and update the custom fields, for example, the CONTRACT EFFECTIVE DATECUSTOMER ACCEPTANCE DATE and SERVICE ACTIVATION DATE fields for a product rate plan.
    2. To remove a product rate plan, click the down arrow next to the rate plan name and click Remove.
    3. You can make field updates to a product rate plan, for example, updating the BILL CYCLE DAY field, the DISCOUNT % field, and so on.

      If you have any custom fields at the Quote Rate Plan Charge level, this is where you can view and update them in your quote.

    4. To add more products, click the ADD PRODUCTS button to display the guided selling flow and follow the guided selling steps.
    5. To view changes you have made to the subscription, click VIEW CHANGES. The list of change logs is displayed. Click HIDE CHANGES to hide the change log list.

      Note: In the change log, for a renewal quote, only the rate plan that appears first in the records retrieved from SOQL will be displayed, even if there are multiple rate plans in the quote. Further, in the case of an amend or renewal quote, when rate plans are added, updated, or removed, all of these rate plans will be shown in descending order based on the LastModifiedDate of the Quote Amendment.
       
    6. Click Save to save your updates.

    See the table below for the tag types that represent your operation to a product rate plan when you edit the products and charges.

    ORIGINAL Used for the original product rate plan in your previous subscription, when it HAS NOT been modified
    UPDATED ON <yy-mm-dd> Used when you have performed either of the following operations to an ORIGINAL product rate plan: Edit Amendments, Update Fields
    ADDED ON <yy-mm-dd>

    Used for the product rate plan that you have added by the Add Products operation

    REMOVED ON <yy-mm-dd> Used when you have removed an ORIGINAL product rate plan
  5. Click Submit to view and confirm your amendment on the Quote Detail page.
  6. Click Send to Zuora on the Quote Detail page  .
  7. On the Order Preview page, click Submit to send the amendment quote to your Zuora tenant.

Renew/Amend Quote Flow in Lightning Guided Product Selector for Ramp Deal

If you are an existing Zuora Subscribe and Amend customer, we recommend you enable Orders Harmonization to access the Orders feature. With Orders, you can access both existing functions for subscription and billing management and the new features on Zuora Billing.

To create and manage ramp deals in a renewal or amendment flow:

  1. Create a quote from the Opportunity Detail page, the Account Detail page, or from the Quotes tab.
  2. On the Selecting Billing Account and Quote Type page:
    1. Select the account if it has not been selected yet.
    2. Select the billing account.
    3. Select the quote type from the Choose Quote Type pick-up list:
      • amend existing subscription for this billing account for Amendment Quote
      • renew existing subscription for this billing account for Renewal Quote
    4. Select the subscription to which you are to make an amendment or renewal.
    5. Click Next.
  3. On the Provide Quote, Account and Subscription Term Details page:
    1. Enter the Quote Details fields including Quote Name, Amendment Name, and Valid Until, and so on.
    2. For amendments or renewals to a previous subscription with the ramp configured, you must specify exactly the same Ramp Frequency or Specific Ramp Frequency as that in your original subscription.
    3. Enter the Subscription Terms and Conditions fields for your Terms and Conditions amendments. You can amend the following fields as your amendments: Change Subscription Term Type, Initial Term, Renewal Term, Subscription Term Start Date, Subscription Term End Date, and Auto Renew.
      For a Renewal Quote, you should change only the Renewal Setting and the Renewal Term fields. 

      If you change the quote start date, you are changing the entire ramp structure, and the previous contract effective dates might no longer be valid. You should clear all previous actions and create new ramp structure.

    4. Click Next.
  4. On the Edit Product and Charges page, the products and charges will appear in Lightning Guided Product Selector grouped by ramp period per your selection in the ramp frequency field.
    1. To view or update any custom fields configured to be displayed:
      • For any custom fields at the Quote Rate Plan level, click the down arrow next to the rate plan name and select Edit Rate Plan. You can then view and update the custom fields, for example, the Specific Update Time field.
      • For any custom fields at the Quote Amendment level, click the down arrow next to the rate plan name and select Edit Amendments. You can then view and update the custom fields, for example, the CUSTOMER ACCEPTANCE DATE and SERVICE ACTIVATION DATE fields for a product rate plan. 
    2. To remove a product rate plan, click the down arrow next to the rate plan name and click Remove. The removal cascades to all future segments. 
      • A RemoveProduct action will be registered as of the start date of that ramp period.
      • Removing a future segment removes the rate plans in all the following ramp periods.
    3. You can make field updates in any ramp period, for example, updating the BILL CYCLE DAY field, the DISCOUNT % field, and so on.
      • When you edit the charge information on a ramp segment, the change cascades to all future segments.
      • Cascading actions will not override previously set future dated changes.

      If you have any custom fields at the Quote Rate Plan Charge level, this is where you can view and update them in your quote.

    4. To add more products, click the ADD PRODUCTS button to display the guided selling flow and follow the guided selling steps.
    5. To view changes you have made to the subscription, click VIEW CHANGES. The list of change logs is displayed. Click HIDE CHANGES to hide the change log list.

    RAMP PRODUCT REMOVED Used when you have removed a 
    RAMP PRODUCT ADDED product rate plan
  5. Click Submit to view confirm your amendment on the Quote Detail page.
  6. Click Send to Zuora on the Quote Detail page  .
  7. On the Order Preview page, click Submit to send the amendment quote to your Zuora tenant.
