Using the Statement Generator Feature

Statement Generator can be executed either manually or through the scheduler (configured in the Settings tab). Navigate to the Execution tab to view all statements created.

On average, statements can take approximately 30 seconds for processing. Large-scale processing (e.g., 1,000 statements) can take up to 10-20 minutes.

Manually Execute Statement Generator

Statements can be generated outside of the recurring schedule. Statements created manually will follow the configurations identified on the Settings page and require a time range that concludes on the current day. There are no limitations to creating multiple statements for the same time period.

  1. Navigate to Executions tab.

  2. Select + in toolbar.

  3. Complete Statement Generate details:

    1. Select Batch number for accounts.
    2. Enter the start date for system to start gathering files.
    3. Click Start.

Statement generator is only able to generate a statement based off a particular batch. If you are trying to generate a statement for a single customer, you will need to move them into their own batch and then execute the process. See Billing and Payment Information for Customer Accounts and Creating Bill Runs for more information about batches.

Review Statements

Generated statements can be displayed in three different areas; the Statement Generator feature instance, the Collections Window UI, or in your Zuora environment (if configured to be attached to an account).

In the Statement Generator feature, navigate to the Executions header to view generated statements. Click the refresh button on the toolbar to monitor status of statements.

Once a statement run has completed, statements will be listed in Execution table. Click the desired Statement Run Number or the corresponding Statements under the ACTIONS column to review all statements generated in a run. To review statement run details and errors, under the ACTIONS column click Log. When reviewing statements, use the search bar to search for a particular account, sort the list by statement number, account number or name, or statement status.

To review a specific statement, navigate to the desired statement run > select desired account > click either STATEMENT NUMBER or PDF under the ACTIONS column. Click Email from the ACTION column to email the statement to the specified customer (email will be sent to designated email established in settings).

Click on the Download/Email button in the toolbar for further insight into generated statements and the account preferences:

  • Download Email - A file of all statements from accounts that have an invoice preference of email.
  • Download Print - A file of all statements from accounts that have an invoice preference of print.
  • Download Others - A file of all statements from accounts that do not have an invoice preference.
  • Download All - A file of all statements created from statement run execution.
  • Download Report - Summary CSV file of account and statement information.
  • Download Summary - Summary CSV file of account invoice delivery preference as indicated in your Zuora environment.
  • Email - Email all generated statements to account emails identified on the Settings page.

Generated statements can also be viewed in the Collections Window. To view statements in the Collections Window feature, ensure the Statement Generator API Token has been entered in the System Integrations tab of the Collections Window settings. Navigate to the desired account in collections, and the last 5 statements generated for the account will be populated in the Statements table.

Statements cannot be generated through the UI of the Collections Window, they can only be viewed.

To review statements in your Zuora environment, navigate to the desired account. On the account landing page, scroll to the Attachment section and view statements.
