Configuring the settings of Collections Window

Upon the first launch of Collections Window, you'll be prompted to complete the initial settings. The integration with Workflow and Notes must be completed before you can use Collections Window. All settings can be modified at a later time.

Prerequisites

  • You must have installed Collections Window. See Install Zuora Collect Features for more information.

    Collections Window uses OAuth to authenticate to your Zuora tenant.

  • To manage manual approval workflow tasks in Collection Window, you need to create a workflow for collecting payments, include approval tasks and define input parameters in the workflow. See Integrate Workflow with Other Zuora Products for details.

  • You must have installed Notes. The integration with Notes is to enable the commenting functionality in Collections Window. For more information, see Install Zuora Collect Features.

  • Optional: To retrieve the retry status of accounts and display in Collections Window, you must install and configure the Configurable Payment Retry. See Set Up the Configurable Payment Retry Feature.

Configure the schedule for gathering accounts in collections

  1. Launch Collections Window. Upon the first launch, you will be prompted to complete the settings. 

  2. In the Settings tab, click Schedule.

  3. From the Time Zone list, select the same time zone as configured for your Zuora tenant to avoid payment errors.

  4. Adjust the execution time and optionally add more execution times. You can have four execution times at most. The frequency is fixed at daily.

  5. Click Update to save the settings.

Configure system integration

  1. Launch Collections Window.
  2. In the Settings tab, click System Integrations.
  3. Enter the Workflow API-token. This is a required integration.

    Obtain the API-token from the Settings tab of the workflow that you have created for collecting payments.

  4. Enter the Notes API-token. This is a required integration.

    Obtain your Notes API-token from the home page of Notes.

  5. Optionally, enter the Configurable Payment Retry API-token.

    Obtain your Configurable Payment Retry API Token from the System Settings section on the Settings page of Configurable Payment Retry.

  6. Click Update the save the settings.

Configure collections statuses

  1. Launch Collections Window.
  2. In the Settings tab, click Collections Statuses.
  3. If any of the four default statuses (In Collection, Pending, In Dispute, and Paid in Full) is not required, click 'x' to remove it. 
  4. To add a new status, type the name in the text field and press Enter.
  5. Click Update to save the settings.
