Zuora Workflow

Zuora Workflow is a Zuora product for designing, configuring, and running business workflows in Zuora.

A workflow is a sequence of tasks that are performed based on predefined logic. A workflow improves efficiency by automating a series of tasks that otherwise need to be performed manually and repetitively.

For example, you can create a workflow that suspends service for delinquent accounts and resumes service when the payment is received. When the workflow runs, the suspension and resumption of service will be performed automatically. You can also create a workflow to automatically write off invoices and cancel subscriptions when chargebacks occur.

Using Workflow

To use Workflow, you need to purchase it as a standalone product or as a feature of Zuora Collect in the Connect Marketplace and install it in your Zuora tenant. See Install Workflow for details.

Workflow Templates

Workflow templates are provided in Zuora Workflow for common use scenarios.

Zuora recommends that you go through the list of workflow templates to see if you can find one that meets your requirements. Consider creating a blank workflow only when there are no templates that can be used. 

Supported Tasks

A task can be seen as a building block of workflows. You connect tasks with loops or conditions (such as the failure or success of the preceding task, or the start of the workflow) to create a workflow. 

Zuora Workflow supports a wide range of tasks, including: 

  • Exporting or querying for data objects
  • Creating, reading, updating, and deleting (CRUD) data objects
  • Billing operations
  • Amendment operations
  • Reporting
  • Manual approval
  • Notifications
  • Conditional operations
  • Uploading data to FTP or SFTP
  • Adding delay to tasks

With these tasks, you are able to design workflows that meet various business requirements.

Integration with Other Zuora Products

Integration with Configurable Payment Retry

You can configure workflows to integrate with the Configurable Payment Retry feature of Zuora Collect, so that workflows can be triggered from your payment retry logic.

When a workflow is triggered from your payment retry logic, Configurable Payment Retry passes the account ID of the failed payment and the ID of the payment to the workflow.

For the integration to work, you need to configure both the workflow and the Configurable Payment Retry feature. See Configure a Workflow and Set Up the Configurable Payment Retry Feature for details.

Integration with Collections Window

If you also use the Collections Window feature of Zuora Collect, you are able to populate all manual approval tasks in Workflow into the Collections Tasks list in Collections Window, so that collections agents can view the pending collections tasks that have been assigned to them.

For the integration to work, you need to configure both the workflow and the Collections Window. See Configure a Workflow and Set Up the Collections Window Feature for details.
