Create quote line items

Quote line items are non subscription based items created in a quote, representing transactional charges such as one-time fees, physical goods, or professional service charges that are not sold as subscription services. In addition to the subscription business model, CPQ X also allows you to launch non-subscription and unified monetization business models, which can be sent to Zuora for future processing. 

After quote line items are sent to Zuora, they are converted to order line items.

CPQ X supports the creation of:

  • One or more product subscriptions.
  • One or more quote line items.
  • A hybrid quote containing both product subscriptions and quote line items.

Within Quote Studio, you have two options to create quote line items:

  • Create quote line items for existing one-time product rate plan charges.
  • Create ad hoc quote line items from scratch.

See the following sections for instructions about how to create quote line items.

Prerequisites

  • Ensure that the Enable OLI Creation in Quote Studio setting is enabled in Quote Studio Settings. With this setting enabled, you can search and browse existing one-time charges, and create quote line items for them.
  • Ensure that you have the Order Line Items feature enabled for your Zuora tenant.
  • If you want to create ad hoc quote line items from scratch, ensure that the Allow ad hoc OLI creation setting is enabled in Quote Studio Settings.

Procedure

You can create quote line items for existing one-time product rate plan charges, or create new ad hoc quote line items.

Create quote line items for existing one-time charges

Take the following steps to create a quote line item for an existing one-time product rate plan charge:

  1. In the Non-Subscription Items section, enter the keyword in the search bar to search for an existing one-time charge, then select the target charge from the dropdown list. The selected one-time charges are then added to the table. Repeat this step until you have added all intended one-time charges.
  2. Alternative to Step 1, you can leverage the Browse Products button in the Non-Subscription Items section to select product rate plans.
    1. Click Browse Products
    2. Find the one-time product rate plan charge upon which the quote line item will be created, hover over the charge and click icon_add. Repeat this step until you have added all intended one-time charges.
    3. Click Add Selections. The selected one-time charges are then added to the table in the Non-Subscription Items section. 
  3. Click the name of the quote line item you want to edit, and update the fields based on your needs. See Introduction to quote line item fields for detailed information about each field. 
  4. Proceed to configure other Quote Studio settings, or click Submit to submit the quote.

Create ad hoc quote line items

Before creating ad hoc quote line items, ensure that the Allow ad hoc OLI creation setting is enabled in Quote Studio Settings.

Then take the following steps to create an ad hoc quote line item:

  1. In the Non-Subscription Items section, click the New Quote Line Item button. The Quote Line Item Details window is displayed.
  2. Specify the quote line item details as needed. See Introduction to quote line item fields for detailed description about each field. 
  3. Click Save. The configured quote line item is then added to the table in the Non-Subscription Items section.
  4. (Optional) Repeat Step 1-3 to create more quote line items as you need in the current quote.
  5. Proceed to configure other Quote Studio settings, or click Submit to submit the quote.

If you want to update the information of a quote line item, you can click the name of the quote line item displayed in the table and update fields based on your needs.

Introduction to quote line item fields

The following table provides the detailed description of each field displayed in the Quote Line Item Details window.

Section Field Required? Description
Basic Information Item Name Yes Name of the quote line item. This name represents the name of the object that is sold and will typically be displayed on invoices, quotes, portals, and so on.
Product Code No The product code that is used as an identifier for the downstream system. This code is used to map the products in external systems such as the SKU in an external product catalog or a provisioning system.
Item Type Yes

The category of the quote line item. Valid values include:

  • Fee
  • Product
  • Services
Transaction Date No The date of the quote line item transaction. If it is not specified, the quote date will be used as the transaction date.
Purchase Order Number No The purchase order number given to the quote line item transaction. Purchase order numbers can be found on the purchase order document.
Description No A brief description of the quote line item for reference.
Item State No

The state of the quote line item. Valid values include:

  • Executing
  • Sent To Billing
  • Complete

Note: To bill the quote line item immediately, you must set this field as Sent To Billing, and specify the Bill Target Date field appropriately.

Bill Target Date No The date when the quote line item will be invoiced.
Pricing List Price Per Unit No The list price per unit at the time of transaction. This field is used for reporting purposes. The Amount Per Unit value is used to determine the charge amount for this quote line item. If this field is not specified, Amount Per Unit will be used as the list price.
UOM No Unit of measure. UOM is defined in the Billing settings of your Zuora tenant.
Amount Per Unit Yes The amount that is charged per unit excluding discounts. This field can contain tax for tax inclusive.
Quantity No Quantity of the quote line item to be purchased. The charge amount will be calculated based on the specified Quantity and Amount Per Unit values. When this field is specified, each unit must be identical and you cannot modify a unit individually. To have a different unit, create another quote line item.
Discount Type No Use this field to specify the inline discount type, which can be Fixed AmountPercentage, or None.
Discount Per Unit No Use this field in accordance with the Discount Type field, in the following manner:
  • If the Discount Type field is set as Percentage, this field specifies the discount percentage for each unit of the order line item.
  • If the Discount Type field is set as Fixed amount, this field specifies the discount amount on each unit of the order line item.
Tax Tax Mode No Indicates whether the charge amount is tax inclusive or tax exclusive.
Tax Code No The tax code that is used to identify the appropriate tax rules and rates to apply to this order.
Sold To Contact Use Billing Contact No Switch this toggle to the enabled position if you want to use the Bill To Contact as the Sold To Contact.
First Name No

Use this section to specify the information about the Sold To Contact for this quote line item. You have three options:

  • Leave this section empty by keeping the Use Billing Contact toggle enabled. The default Sold To Contact under the invoice owner account of this quote line item will be used as the Sold To Contact for this quote line item.
  • Create a new contact as the Sold To Contact for this quote line item by filling in the relevant fields. To edit the relevant fields, you must first turn the Use Billing Contact toggle button off.
  • Use an existing contact of the customer account by filling in the relevant fields. To edit the relevant fields, you must first turn the Use Billing Contact toggle disabled.
Last Name No
Country No
State No
City No
County No
Postal Code No
Finance Revenue Rec Rule No Name of the applicable revenue recognition rule.
Revenue Rec Accounting Code No The accounting code for recognized revenue.
Deferred Rev Accounting Code No The accounting code for deferred revenue.
Additional Information Custom Field 1 No The custom fields that are defined on the Quote Line Item object.
Custom Field 2 No

Limitations

When working with Order Line Items (OLIs) in CPQ X, you may encounter the following limitations:

  1. Rules Engine: The Rules Engine in the system does not currently recognize or support Order Line Items. This means you may encounter limitations when configuring rules specifically for Order Line Items.

  2. "Billing Trigger Rule" field: At the time of Quote creation, it is not currently possible to update the "Billing Trigger Rule" field for Order Line Items. This limitation means you cannot modify or set the billing trigger rule specifically for an Order Line Item during the Quote creation process.
