Create new Pending Subscription Quote using Quote Studio

In CPQ X, you can create pending subscriptions and set activation dates for the pending subscriptions.

Overview

A subscription, created using the Pending Subscription feature in CPQ X, is a subscription in which the Service Activation Date or the Customer Acceptance Date is left blank (dates are being set as required in the Billing Settings in Zuora). Therefore, when a charge is set to trigger on Customer Acceptance and there is no Customer Acceptance Date specified, then preview metrics cannot be generated for that charge. This is due to the blank trigger date.

Note that when dealing with pending subscriptions, the Include in Create Subscription (zqu__IncludeInCreateSubscription__c) field in the Quote object (zqu__Quote__c) will always be selected, resulting in just one order action labeled "Create Subscription." Conversely, for standard subscriptions, this checkbox will remain unchecked.

Currently, Quote Studio does not support guided selling flow for pending subscriptions.

Prerequisites

  1. In the Zuora tenant, navigate to BillingDefault Subscription and Order Settings section, set the below settings to Yes (Default value should be “No”).
    • Require Customer Acceptance of Orders (“Yes”).

    • Require Service Activation of Orders (“Yes”).

Permissions

You should have the following permissions to create, edit, and activate pending subscriptions.

Permission for Creating a Pending Subscription

  1. In your Salesforce org, navigate to Quote Studio Settings > Feature Access Config.
  2. Select Create Pending Subscriptions from the dropdown.
  3. Select the user’s profile who needs access to create a pending subscription. 

Permission for Editing a Pending Subscription

  1. In your Salesforce org, navigate to Quote Studio Settings > Feature Access Config.
  2. Select Edit Pending Subscriptions from the dropdown.
  3. Select the user’s profile who needs access to edit a pending subscription. 

Permission for Activating a Pending Subscription

  1. In your Salesforce org, navigate to Quote Studio Settings > Feature Access Config.
  2. Select Activate Pending Subscriptions from the dropdown.
  3. Select the user’s profile who needs access to activate a pending subscription. 

Create a Pending Subscription

Procedure

To create a pending subscription, take the following steps:

  1. In your Salesforce org, navigate to the Account Detail page of an account.
  2. Click the New Quote (New) or New Quote button. 
  3. In the area of Step 1: Select a Billing Account, select a billing account from the table. 
  4. In the area of Step 2: Select a Subscription, click Pending Subscription on the right. The New Pending Subscription Quote page is displayed.
  5. Configure quote information and submit the configuration upon completion. See Configure quote information on Quote Studio page for instructions.

Edit a Pending Subscription

Procedure

Take the following steps to edit a pending subscription:

  1. Click the Quotes tab.
  2. Find the quote you want to edit and click the quote name to enter the Quote Detail page.
  3. Click the Edit Quote (New) button. The Quote Studio page is then displayed.
  4. Configure quote information and submit the configuration upon completion. See Configure quote information on Quote Studio page for instructions.

Activate a Pending Subscription

Take the following steps to activate a pending subscription by setting the Subscription Activation Dates:

  1. Navigate to Billing Account and Subscription selector Page (the page right after New Quote (New) button is clicked). The Set Activation Dates button can be found where the Amend, Renew, and Cancel icons are usually found.

  1. Click Set Activate Dates button, the "Subscription: Set Activation Dates" modal pop-up will then appear to set activation dates.
  2.  Enter the dates in Service Activation and Customer Acceptance field.

  1. Click Save.

Preview pending subscription

When the "Preview Pending Subscription" setting within Admin Config is enabled, the Quote Studio will incorporate the Service Activation Date and the Customer Acceptance Date as the Quote Start Date when generating a preview request for pending subscription creation. This functionality enables the UI to demonstrate how the metrics would appear if the subscription were activated immediately, considering the Quote Start Date and all essential Service Activation Date and Customer Acceptance Date. However, when the Order request is forwarded to Zuora for creation, SAD and CAD will be intentionally left blank to facilitate the creation of a Pending Subscription.

Conversely, when this setting is disabled, and the trigger event is set to "Upon Contract Effective," a preview will still be generated. However, if the trigger event is set to "Upon Service Activation" or "Upon Customer Acceptance," the preview will display a null value.

To preview pending subscription, follow these steps:

  1. Navigate to the Zuora Config > Quote Studio Settings > Admin Config.
  2. Enable "Preview Pending Subscription" setting.
  3. Save the changes.

Preview pending subscription metrics without proration in Quote Studio

To preview pending subscription metrics without proration in Quote Studio, follow these steps:

  1. Navigate to the Zuora Config > Quote Studio Settings > Default Settings.
  2. Enable "Preview Metrics for Pending Subscriptions Without Proration" setting.
  3. Save the changes.

Once you have enabled the "Preview Metrics for Pending Subscriptions Without Proration" setting, you will be able to preview metrics for pending subscriptions without proration in Quote Studio. It's important to note that these preview metrics are based on the Bill Cycle Type = SubscriptionStartDay.

The metrics displayed without proration are for previewing purposes only. The actual pending subscription created in Zuora will have metrics based on the Bill Cycle Type defined at the charge level.

Default to pending subscription when creating new subscription

To select the Pending Subscription option by default when creating a new subscription, follow these steps:

  1. Navigate to the Zuora Config > Quote Studio Settings > Default Settings.
  2. Enable "If Pending Subscription feature is enabled in Feature Access Config settings, then set Pending Subscription as the Default for New Subscriptions" setting.
  3. Save the changes.

Make sure that you have also enabled the pending subscription feature in the Feature Access Config settings under Zuora Config. With both the "Pending Subscription" feature and the corresponding default setting enabled, the "Pending Subscription" option will be selected by default when creating a new subscription.

Limitations

  1. No Future-Dated Update Actions: In a pending subscription, the ability to make future-dated update actions is restricted. Any modifications to the subscription, such as changes to quantities or billing periods, must take effect immediately upon activation.

  2. No Ramp Quotes: Creating ramp quotes within a pending subscription is not allowed. Pending subscriptions are designed for straightforward, immediate activation, and do not support complex pricing structures or gradual rate changes over time.

  3. No Future-Dated Remove Actions: Similar to update actions, removing items or components from a pending subscription with future-dated removal dates is not permitted. Removal actions must also occur immediately upon subscription activation.

  4. Amendments and Renewals in Active State Only: To amend or renew a pending subscription, it must first transition to an active state. Until then, any changes to the subscription terms or products will not be possible. Once the pending subscription is activated, you can proceed with amendments and renewals as needed.
