Holds and Approvals

Holds and Approvals are created to hold the revenue, transfer accounting, or hold the revenue release if the approval is not done. 

There are three types of holds:

  • Revenue Hold - Revenue will not be released.
  • Transfer Hold - Revenue gets released but Transfer Accounting cannot be performed.
  • Approval Hold - Revenue will not be released before revenue release approval.

The master setup of holds and approvals are performed in the setup section. Only after doing these setups, you can perform the activities of holding a revenue or a transfer when you are working in the WorkBench. You can also approve the Revenue and MJE approvals. Only after these approvals, the revenue can be released. The document has the following sections:

Master Setup of Holds

To create a new hold or modify the existing hold:

  1. A valid name is required for the new hold or update the name of the existing hold.
  2. Select the type of hold that can be Revenue Hold, Transfer Hold, or Approval Hold. 
  3. Select the level that states whether the hold is applied on RC, POB, or Line.
  4. Click Save icon.
  5. From the Criteria Group name, click the + icon to create a new sequence for holds. This is available only for a Revenue Contract and Line. The + button is hidden if the hold is on POB.
  6. Modify the sequence number in Seq. This is an auto generated field.
  7. Enter the name of the criteria group.
  8. Select the Enabled check box to enable the criteria grouping.
  9. Click the Actions button to open the Assign the Criteria screen.

  1. Click the + icon to create and assign a criteria to a field.
  2. Enter the Apply criteria on, Field Name, Operator, and Operand details. Apply criteria on field is available only for RC level holds.
  3. Click Save.

Master Setup of Approvals

  1. In the Approval Rules pane, click the New Rule button to create a new rule.
  2. In the New Approval Rule screen, select the Approval Rule pane.
  3. In the Applied On field, select Manual JE or Revenue Contract. This field defines the approval rule and whether the rule is applied on a Manual JE or Revenue Contract.
  4. Enter a valid name for the approval rule.
  5. Click the Save icon to save the created approval rule setups.
  6. In the Rule Criteria pane, click the + icon to create and assign a new criteria to a field.
  7. Enter the Field Name, Operator, and Operand details.
  8. Click Save.
  9. In the Rule Approvers pane, click the + icon to create the approvers who can approve the holds.
  10. Click Save.

After defining these master setups for hold and approvals in the Setups pane, the user can perform holds on a revenue or transfer and also approve a Manual JE or Revenue Contracts.

Holding a Revenue/ Transfer

  1. Navigate to Workbench > Holds.
  2. In the Holds screen, all the Revenue and Transfer holds are listed. 
  3. Click the icon.pngicon to approve the holds placed on a RC, POB, or Line.

Approving an RC / MJE

To approve an RC, do the following:

  1. Navigate to Workbench > Approvals.
  2. In the RC Approvals pane, all the Revenue Contracts that are pending for approval or rejection are listed. 
  3. Click the icon.pngicon to approve an RC revenue release or click Approve All to approve all the RCs revenue release.
  4. Click the X to reject an RC revenue release.

MJE Approval.png

To approve a MJE, do the following:

  1. Navigate to Workbench > Approvals.
  2. In the MJE Approvals pane, all the MJEs that are waiting for revenue release are listed. Only when the approval is given here, then the MJE's revenues are released or not released. 
  3. Click the icon.pngicon to approve the revenue release of the MJE or click X to reject the revenue release of the MJE .
