Grant User Access to Other Entities

Only the entity administrators have permission to manage user accesses. You need to finish the following steps to grant an entity user access to other entities:

  1. Send an access request to the entity that the user wants to access.
  2. Accept the access request.

    If the entity administrator who sends the access request is also the administrator of the entity that the user wants to access, the access request will be automatically accepted. In such cases, you do not need to perform this step. For example, a user of the Europe entity wants to access the UK entity. An administrator of the Europe entity sends a user access request to the UK entity. If this administrator is also given access to the UK entity and assigned as the UK entity administrator, the access request is automatically accepted in the UK entity.

Send a User Access Request

You must send the user access request from the entity in which the user is created.

To send a user access request from the Zuora UI:

  1. Log in as the administrator of the entity. This entity administrator must have the permission to access the entity that the user wants to access.
  2. Navigate to the entity from the entity switcher.
  3. Click your username at the top right and navigate to Administrator > Manage Users.
  4. On the All Users page, click the user first name or last name.
  5. On the user page, click Request/Show Access to other Entities.
  6. On the Request/Show Access to other Entities dialog, select the check box next to the entity that the user wants to access.

    The administrator can only request a user access to the entities they have permission to access. Those entities that the administrator does not have permission to access are grayed out.

  7. Click save.

Accept the User Access Request

You must accept the user access request in the entity that the user wants to access.

To accept the user access request from the Zuora UI:

  1. Log in as the administrator of the entity.
  2. Navigate to the entity from the entity switcher.
  3. Click your username at the top right and navigate to Administrator > Manage Users.
  4. On the All Users page, click the user first name or last name.
  5. On the user page, click Grant Access.
  6. Click Yes on the pop-up window.
