Set up Holds and Approvals

Holds and approvals are created for the following purposes:

  • Hold the revenue
  • Transfer accounting
  • Hold the revenue release until the approval is done

In RevPro, you must complete the required configuration for holds and approval rules. Then, these actions can be performed in RevPro Workbench.

Create Holds

Complete the following steps to create a hold in RevPro:

  1. Navigate to Policies > Holds and Approvals. The Revenue Holds page is displayed listing all defined revenue hold rules.
  2. To create a hold, create the New Hold icon icon-add.png. The New Hold window is displayed.
  3. Provide detailed information about the hold and then click icon-save.png. The hold is created.
    Field Description
    Name Provide a unique name for the hold.
    Description A short description of the hold.
    Enabled Toggle this switch to Yes to enable the hold.
    Hold Type

    Select the hold type:

    • Revenue Hold: Revenue will not be released.
    • Transfer Hold: Revenue is released but transfer accounting cannot be performed.
    • Approval: Revenue will not be released until revenue release is approved.
    Hold Level

    Select the level that the hold is to be applied.

    Release Event Select the revenue release event.
    Schedule Type If this is a transfer hold, select the appropriate schedule type.
    Start Date The effective start date of the hold.
    End Date The effective end date of the hold.
    Allow Manual Release Specify whether revenue can be manually released.
    Allow Manual Apply Specify whether hold can be manually applied.
    Expiry Details Specify when this hold will expire, for example, 3 months after the Revenue End Date.
  4. If the hold is to be applied at the RC level or line level, in the Criteria Group section of the window, click icon-add-green.png to create a new sequence for holds.
    1. In the Name column, specify a name for the criteria group and then click icon-save-green.png
    2. In the Actions column, click the Apply Criteria On icon icon-action.png. The Assign Criteria window is displayed.
    3. To add a criterion, click icon-add-green.png.
    4. Select the appropriate value for the Apply Criteria On, Field Name, and Operator columns, and enter the value in the Operand column.
    5. Enable the criterion by setting the Enabled column to Yes.
    6. Repeat the steps to add more criteria if needed and use the Seq column to specify their sequence to be applied.

The hold is created. You can perform the activities of revenue hold or a transfer in RevPro Workbench. For more information, see Release a Revenue Hold or Transfer Hold.

Create Approval Rules

Complete the following steps to create an approval rule in RevPro:

  1. Navigate to Policies > Holds and Approvals.
  2. Click side-menu-open.png to open the side menu and then click Approval Rules. The Approval Rules page is displayed listing all defined approval rules.
  3. To add an approval rule, click the New Rule icon icon-add.png. The New Approval Rule window is displayed.
  4. In the Approval Rule tab, specify detailed information about the approval rule and then click icon-save.png. The approval rule is created.
    Field Description
    Applied On Specifies whether the approval rule is applied on a manual journal entry or on a revenue contract.
    Name A unique name of this approval rule.
    Description A short description of the approval rule.
    Function Name The function name.
    Start Date The effective start date of the approval rule.
    End Date The effective end date of the approval rule.
    Enabled Toggle this switch to Yes to enable this approval rule.
    Revenue Release Specify whether revenue is to be released upon approval.
  5. Click the Rule Criteria tab to specify the criteria based on which the approval rule is to be applied. Click icon-add-green.png to add a line and click icon-save-green.png to save the changes.
  6. Click the Rule Approvers tab to specify the approvers who can approve the revenue holds. Click icon-add-green.png to add an approver and click icon-save-green.png to save the changes.

The approval rule is created. When holds are placed on a revenue contract or MJE, approval must be provided for appropriate action to be taken. For more information, see Approve or Reject Revenue Release for RC or MJE.
