Accounts Receivable

This article describes the Accounts Receivable data in the Balances tab of an accounting period. For information about the other sections in the Balances tab, see Accounting Period Balances.

Zuora Finance must be enabled on your tenant and you must have Zuora Finance Access permission to view the Accounting Period Balances tab.

You can view Accounts Receivable information in the Balances tab for accounting periods with a start date on or after 01-01-2015. Accounting periods before this date will not have Accounts Receivable information.

After you have run a trial balance or closed an accounting period, you can view the Balances tab for information about your Accounts Receivable balance for that period. You can view your Accounts Receivable balance summary and download a separate detail report.

Navigate to Finance > Accounting Periods, select the accounting period you want to view, and then select the Balances tab. Scroll down to the Accounts Receivable section.

Viewing Consolidated Balances or Balances for Individual Currencies

To view a consolidated Accounts Receivable balance of all currencies converted into your home currency, select "Consolidated View" from the Currency drop-down menu.

You can also select individual currencies from the drop-down menu to view the balances for that currency only.

Note that when you select the Consolidated View, foreign currency gain and loss information is also displayed in the Accounts Receivable section. For more information about the foreign currency exchange gains and losses balance and the downloadable reports, see Foreign Currency Gains and Losses.

Accounts Receivable

The following table describes the fields in the Accounts Receivable section of the Balances tab. 

Note that the items listed in the Accounts Receivable section will change if you enable the Invoice Settlement feature. 

The Invoice Settlement feature is generally available as of Zuora Billing Release 296 (March 2021). This feature includes Unapplied Payments, Credit and Debit Memos, and Invoice Item Settlement. If you want to have access to the feature, see Invoice Settlement Enablement and Checklist Guide for more information. After Invoice Settlement is enabled, the Invoice Item Adjustment feature will be deprecated for your tenant.

Invoice Adjustment is deprecated on Production. Zuora recommends that you use the Invoice Item Adjustment to adjust invoices.

Field Description

Starting Accounts Receivable

Starting balance of your Accounts Receivable for this accounting period. Equal to the Ending Accounts Receivable balance of the previous accounting period.

Note that the Starting Accounts Receivable balance of this accounting period and the Ending Accounts Receivable balance of the previous accounting period might be different if the previous period has not yet been closed.

Invoices

Sum of amounts for posted invoices with invoice dates in this accounting period.

Debit Memos Sum of amounts for posted debit memos with memo dates in this accounting period.
Credit Memos Sum of amounts for posted credit memos with memo dates in this accounting period.

Payments

Sum of invoice payments for this accounting period.

Overpayments

Sum of overpayments customers have made for this accounting period. 

Note that after you enable the Invoice Settlement feature, if the sum of overpayments is zero, the Overpayments item will not be shown.

Refunds

Click the plus sign (+) to the left of Refunds to display additional fields.

Refunds against Unapplied Payments

Sum of refunds to customers from their unapplied payments. 

Note that the Refunds against Unapplied Payments item is only available if you enable the Invoice Settlement feature.

Refunds against On-Account Credit Memo

Sum of refunds to customers from their on-account credit memos. 

Note that the Refunds against On-Account Credit Memo item is only available if you enable the Invoice Settlement feature. 

Invoice Payment Refunds

Sum of refunds to customers for payments already made.

Credit Balance Refunds

Sum of refunds to customers from their credit balance. 

Note that the Credit Balance Refunds item is only available if you enable the Credit Balance feature. The Credit Balance feature is in Limited Availability. If you wish to have access to the feature, submit a request at Zuora Global Support.

Subtotal Refunds

Sum of all refunds for this accounting period. Calculated as follows:

Subtotal Refunds = Invoice Payment Refunds + Credit Balance Refunds + Refunds against Unapplied Payments + Refunds against On-Account Credit Memo

Adjustments

Click the plus sign (+) to the left of Adjustments to display additional fields.

Invoice Item Adjustments [Credit]

Sum of credit invoice item adjustments.

Invoice Item Adjustments [Charge]

Sum of charge invoice item adjustments.

Invoice Adjustments [Credit]

Sum of credit invoice adjustments.

Invoice Adjustments [Charge]

Sum of charge invoice adjustments.

Subtotal Adjustments

Sum of all adjustments for this accounting period. Calculated as follows:

Subtotal Adjustments = Invoice Item Adjustments (Charge) - Invoice Item Adjustments (Credit) + Invoice Adjustment (Charge) - Invoice Adjustment (Credit)

Subtotal Accounts Receivable Transactions

Only viewable in Consolidated View. Sum of all transactions that impact Accounts Receivable for this accounting period.

Subtotal Invoice Balance Gains / Losses

Sum of the following for invoice balances: 

  • Realized gains / losses (not including credit balance adjustment)
  • Unrealized gains / losses
  • Unrealized gains / losses reversal from last accounting period
Subtotal Unapplied Payment Gains / Losses

Sum of the following for unapplied payments: 

  • Realized gains / losses
  • Unrealized gains / losses
  • Unrealized gains / losses reversal from last accounting period

Note that this item is only available if you enable the Invoice Settlement feature.

Subtotal Credit Memo Gains / Losses

Sum of the following for credit memos: 

  • Realized gains / losses
  • Unrealized gains / losses
  • Unrealized gains / losses reversal from last accounting period

Note that this item is only available if you enable the Invoice Settlement feature.

Subtotal Debit Memo Gains / Losses

Sum of the following for debit memos: 

  • Realized gains / losses
  • Unrealized gains / losses
  • Unrealized gains / losses reversal from last accounting period

Note that this item is only available if you enable the Invoice Settlement feature.

Credit Balance

Click Download all Credit Balance Adjustment, and navigate to the Credit Balance Adjustment data source export page. 

Note that the Credit Balance item is only available if you enable the Credit Balance feature. The Credit Balance feature is in Limited Availability. If you wish to have access to the feature, submit a request at Zuora Global Support.

Subtotal Foreign Currency Exchange Gains / Losses

Only viewable in Consolidated View. 

The subtotal includes invoice balances, unapplied payments, credit memos, and debit memos if applicable.

The subtotal does not include credit balances.

Total Accounts Receivable Transaction Rounding Differences

Only viewable in Consolidated View. The discrepancy caused by rounding transaction amounts during currency conversion. Accurate to nine decimal places.

Total Gains / Losses Rounding Differences

Only viewable in Consolidated View. The discrepancy caused when rounding foreign currency gain and loss amounts. Accurate to nine decimal places.

Ending Accounts Receivable

Ending balance of your Accounts Receivable for this accounting period. The following section shows how the Ending Accounts Receivable balance is calculated.

How is the Ending Accounts Receivable Balance Calculated?

If you're viewing a single currency, the Accounts Receivable Ending Balance is calculated as follows: 

Ending Accounts Receivable = Starting Accounts Receivable + Transactions that impact Accounts Receivable in the accounting period

If you're viewing balances in Consolidated View, the Accounts Receivable Ending Balance is calculated as follows: 

Ending Accounts Receivable = Starting Accounts Receivable + Transactions that impact Accounts Receivable in the accounting period + Subtotal Foreign Currency Exchange Gains / Losses + Total Accounts Receivable Transaction Rounding Differences + Total Gains / Losses Rounding Differences

The Starting Accounts Receivable balance is rolled forward from the previous accounting period. That is, the Ending Accounts Receivable balance from one accounting period is the Starting Accounts Receivable balance for the next accounting period.

The transaction types that impact Accounts Receivable are listed in the following table. The table also shows whether each transaction type increases (+) or decreases (-) the Ending Accounts Receivable balance.

Accounts Receivable Detail Report

The Accounts Receivable detail report provides a list of transactions that impact your Accounts Receivable balance for the accounting period. You can download the report from the Zuora UI or through a URL.

How to Download the Report

Download From the Zuora UI:

After running the trial balance, navigate to Balances > Accounts Receivable and click [Download Detail].

Download Through a URL:

Use the following URL, where you replace {accounting period ID} with the ID of the accounting period for which you want to view Accounts Receivable data:

https://www.zuora.com/apps/AccountingPeriods.dox?method=downloadARDetail&id={accounting period id}

To find the accounting period ID, navigate to Finance > Accounting Periods and click on the accounting period. On the accounting period page, copy the sequence of letters and numbers afterid= at the end of the URL, for example,8a8081ae4b9a132a014bfc6721861190.

If you want to download or export a large CSV file, Zuora recommends you to use text editors other than Microsoft Excel to open the file. The maximum row number that Excel supports is 1,048,576.

Fields in the Accounts Receivable Detail Report

The following table describes the fields that are included in the Accounts Receivable detail report.

Field Description

Customer Account Number

Customer account number associated with the transaction.

Customer Account Name

Customer account name associated with the transaction.

Customer Account Currency    

Currency of the customer account. Each customer account has only one currency.

If you have configured any segments related to customer accounts, the segment names appear here as column headings. The segments are arranged in alphabetical order.

Home Currency Home currency used. 
Exchange Rate Date The date of the exchange rate used.
Exchange Rate The exchange rate used. 

Transaction Date

Date when the transaction occurred.

Transaction Type

Type of transaction, such as an invoice item or invoice item adjustment.

Transaction Subtype

Subtype of the transaction. See Transaction Subtypes for more information.

Transaction Number

Transaction number, such as INV-00000001 for an invoice item.

Transaction ID

Unique system ID for the transaction.

Transaction Amount

Amount of the transaction.

Transaction Amount (Home Currency)

Transaction amount in your home currency.

Transaction Amount Currency Rounding

The discrepancy caused by rounding the transaction amount during currency conversion. Accurate to nine decimal places.

Debit Accounting Code

Accounting code that was debited.

Debit Amount

Amount that was debited.

Debit Amount (Home Currency)

Debit amount in your home currency.

Debit Amount Currency Rounding

The discrepancy caused by rounding the debit amount during currency conversion. Accurate to nine decimal places.

Credit Accounting Code

Accounting code that was credited.

Credit Amount

Amount that was credited.

Credit Amount (Home Currency)

Credit amount in your home currency.

Credit Amount Currency Rounding

Transaction Service Period Start

The Transaction Service Period Start and End dates are based on the transaction type. For example, for an invoice item, the dates are based on the service start and end dates of that invoice item.
