Configure reusable blocks in email templates
Reusable blocks allow you to define reusable email components, such as headers and footers, and embed them into email templates. This eliminates the need to manually recreate common elements and enhances consistency and efficiency in email template management.
The high-level procedure of configuring reusable blocks in email templates is as follows:
Create reusable blocks
To create a reusable block, perform the following steps:
- Navigate to Extension Studio > Events & Notifications in the left navigation menu. The Setup Profiles, Notifications and Email Templates page opens.
- Click the Email Templates tab.
- Click the Reusable Blocks sub-tab.
- In the upper right of the Reusable Blocks section, click + Add New Block. The Create Reusable Block dialog opens.
- Specify the following information:
- Name: The name of the reusable block. The value must be unique across all blocks.
- Block Number: The number of the reusable block. The value must be unique across all blocks.
A unique value is populated automatically, but you can modify it as needed. - Category: Select a category for the reusable block. The following values are supported:
- Headers
- Footers
- Other
- Tag(s): Enter comma-separated tags for the reusable block. Tags help you quickly locate blocks when editing email templates in the UI by using the tag filter.
- Active: Turn on this toggle to activate the reusable block. Only active blocks can be embedded into email templates.
- Edit the content of the reusable block using the same process as editing email template bodies. For more information, see Complete the email subject and body.
- Click Save.
Edit reusable blocks
Updates made to a reusable block are automatically applied across all linked email templates.
To edit a reusable block, perform the following steps:
- Navigate to Extension Studio > Events & Notifications in the left navigation menu. The Setup Profiles, Notifications and Email Templates page opens.
- Click the Email Templates tab.
- Click the Reusable Blocks sub-tab.
- Locate the reusable block you want to edit and click Edit in the last column of the table. The Edit Reusable Block dialog opens.
- Modify the following settings as needed:
- Name
- Block Number
- Category
- Tag(s)
- Active
- Block content
- Click Save.
Embed reusable blocks into email templates
To embed reusable blocks into an existing email template, perform the following steps:
- Navigate to Extension Studio > Events & Notifications in the left navigation menu.
- Click the Email Templates tab.
- In the Email Templates sub-tab, locate the email template you want to embed the reusable block into and click Edit in the last column. The Edit Email Template dialog opens.
- In the Email Body section, click Blocks in the email template editor.
- Add reusable blocks:
- (Optional) Click a category or enter a tag name in the Search field to filter related reusable blocks.
- Drag a reusable block to the desired location in the email body.
- Repeat steps a and b to add additional reusable blocks as needed.
- Click Save.
Embedding reusable blocks into a new email template follows a similar process as described above.
Reusable block synchronization after data migration via Deployment Manager
Currently, the Deployment Manager does not support the migration of reusable blocks. To ensure that email templates render correctly after migration, you must manually recreate the reusable blocks in the target environment using the same block numbers as in the source environment.
For example, if a reusable block with the Block Number RB-01 is embedded in several email templates in your source tenant, those templates will be copied to the target tenant during migration, and the block references will remain intact. To maintain correct rendering of email notifications, you must manually create a reusable block in the target tenant with the same content and set the Block Number to RB-01.
